# Filtering and searching your inbox with Mail Pro

Mail Pro turns a plain-language request into a precise search of your Microsoft 365 inbox. You do not build query syntax yourself: you describe what you want, and Mail Pro converts it into a Microsoft Graph mail query, then returns the matching messages. This page explains which filters you can use and how to combine them.

Mail Pro reads your mailbox in read-only mode and only searches the signed-in user's own inbox. It shows a Search Emails confirmation before it runs a search.

# Filters you can use

Mail Pro understands the following filters and combines them automatically when your request mentions more than one.

Sender and recipient Filter by who sent or received the message, for example email from Paul or to the HR team.
Subject and keywords Match words in the subject line or message body, such as email about the project kickoff.
Date range Use natural ranges like yesterday, last week, this month, or since last month.
Read status Limit results to unread messages, or to email you have already opened.
Attachments Show only messages that include attachments.
Importance Focus on high-importance email, which Mail Pro uses to flag what is urgent.

# Combine filters in one request

You can stack several filters in a single sentence. Mail Pro reads the intent and joins the filters together.

  • emails containing attachments from Paul sent yesterday finds messages from Paul, sent yesterday, that carry an attachment.
  • unread messages from HR this month finds this month's unread email from HR.
  • show me all emails with attachments returns every message that includes an attachment.
If you do not give a time frame, Mail Pro defaults to roughly the last 30 days. Add a range like this week or since last month to widen or narrow the search.

Mail Pro keeps context across a conversation. After a search, a follow-up such as only unread or just from my manager adds to the previous filters rather than starting over. If your follow-up is ambiguous and there is no earlier query, Mail Pro asks you to clarify.

# How your data is handled

Your email stays inside your Microsoft 365 environment. Mail Pro is hosted on Microsoft Azure in Europe and is fully GDPR compliant. No email data leaves your tenant, and nothing is used to train external AI models. Mail Pro only searches and reads content; it never sends, deletes, or modifies your email.
