# Mail Pro Q&A
Quick answers to the questions people ask most about Mail Pro, the secure email agent for Microsoft 365 Copilot. If you are just getting started, see the Mail Pro get started guide.
# Activation and setup
# Is activation always required?
Yes. Mail Pro cannot run until it is activated once for your organization. A tenant admin grants consent, and your organization needs an active Mail Pro subscription.
# Why do I see "Mail Pro is almost ready"?
Because the one-time admin consent has not been completed yet. Everything is installed. Mail Pro just needs an admin to approve it for your workspace.
# What should I do?
Use the Activate now button on the card, or send the activation link to the person who manages Microsoft apps in your company.
# Who should complete the activation?
The person who manages Microsoft apps, often the CEO, CTO, IT Manager, Office Manager, or Microsoft 365 administrator.
# How long does activation take?
About 20 seconds. It is a standard Microsoft consent step.
# Do I need to reinstall Mail Pro afterward?
No. Mail Pro works immediately once it is activated.
# Plans and usage limits
# Which plans are available?
Three hourly usage tiers: Starter, Premium, and Platinum. Every tier includes the full Mail Pro agent, and the tiers differ by how many email actions you can run each hour. See the pricing and subscription page.
# What happens when I reach my usage limit?
Mail Pro tells you that you have reached the hourly action limit. Wait for the next hour, or upgrade to a higher tier to unlock more email actions.
# Privacy and data
# Does Mail Pro read every user's emails?
No. Mail Pro only reads your own mailbox, and only when you ask it something.
# Can Mail Pro send emails?
No. Mail Pro does not send email on your behalf. It reads and analyzes your inbox and can suggest draft replies for you to review and send yourself.
# Is Mail Pro GDPR compliant, and where is my data hosted?
Yes. Your emails stay inside your Microsoft 365 environment. Mail Pro is hosted on Microsoft Azure in Europe, is fully GDPR compliant, and your data is never used to train external AI models.
